Refund & Cancellation Policy

How to cancel, when you get money back, and what happens to your data. No hidden conditions.

1. The short version

Cancel any time, in one click, from your billing settings. You keep access until the end of the period you've already paid for. We don't lock you into contracts, we don't charge cancellation fees, and if we've clearly billed you in error we refund it.

2. Free trial

Every new office starts with a 14-day free trial. No payment method is required to begin, so there is nothing to refund if you decide not to continue.

If you don't add payment details before the trial ends, your subscription pauses automatically. You will not be charged.

3. How to cancel

Sign in, open Settings → Billing, and choose Cancel subscription. It takes effect immediately and you'll get a confirmation by email.

If you can't reach your billing settings for any reason, email support@loadshub.app from the address on the account and we'll cancel it for you. We will not require a phone call, and we will not make you talk to a retention team.

4. What cancelling does

  • Your subscription stops renewing
  • You keep full access until the end of the billing period you've already paid for
  • At the end of that period your office becomes read-only
  • You can still sign in and export your data (see section 9)
  • You can reactivate at any time before deletion and pick up where you left off

5. Refunds

What we refund

  • Duplicate charges — refunded in full, always
  • Billing errors on our side — charged the wrong plan, charged after a valid cancellation, charged during a trial — refunded in full
  • Extended outage — if Loadshub is unavailable for a prolonged period within a billing month, contact us and we will credit or refund a fair portion of that month
  • First charge after a trial, if you tell us promptly — if you meant to cancel before your trial ended and contact us within 7 days of that first charge, we'll refund it

What we don't normally refund

  • Partial months after a mid-cycle cancellation — you keep access for the rest of the period instead
  • Periods where the account was available to you but you chose not to use it
  • Charges older than 60 days, except where required by law

These are our defaults, not hard rules. If your situation is genuinely unfair and doesn't fit the list above, write to us and explain it. We'd rather resolve it directly than have you dispute it with your bank.

How refunds are issued

Refunds go back to the original payment method through Stripe. Processing typically takes 5–10 business days to appear on your statement, depending on your bank. We'll confirm by email when the refund is issued.

If you downgrade to a plan with fewer seats than you currently use, nobody is removed from your office. Your existing users keep working; you simply cannot add new ones until you're back within the limit or upgrade again.

7. Failed payments

If a payment fails we'll email you and retry over several days. Your access is not cut off at the first failure — we know cards expire and banks decline things for no good reason.

If payment still hasn't succeeded after our retry period, the account is suspended until it's resolved. Your data is retained per section 9 throughout.

8. Chargebacks

If you believe a charge is wrong, contact us first at support@loadshub.app. We can almost always resolve it faster than a bank dispute, and we'd rather refund you directly than pay a dispute fee to argue about it.

Accounts with an unresolved chargeback may be suspended until the dispute is settled.

9. Your data after cancelling

  • You can export loads, documents and invoices at any time while you can still sign in
  • Data is retained for 30 days after your subscription ends, so you can export it or reactivate
  • After 30 days it is scheduled for deletion from active systems, with backups aging out on our normal cycle
  • You can request immediate deletion instead by emailing us
