Privacy Policy

What we collect, why we collect it, who we share it with, and what you can ask us to do about it. Written to be read, not to be skimmed past.

1. Summary

We don't sell your data. We don't share your rates, customers or margins with other Loadshub customers. We use a small number of named service providers to run the product, and we keep your data only as long as you have an account plus a short window afterwards.

2. Who we are

Dispatch FM LLC, a Wyoming limited liability company, operates Loadshub and is the controller of the personal information described here.

3. What we collect

Information you give us

  • Account details — your name, work email, company name, and fleet size when you sign up
  • Staff records — the names, emails and roles of people you invite into your office
  • Operational data — loads, trucks, stops, customers, brokers and rates you enter or import
  • Documents — rate confirmations, bills of lading, proofs of delivery, lumper receipts, scale tickets, driver licences, medical cards and other files you upload
  • Financial records — invoices, settlements, pay rates and commission rules you configure
  • Support correspondence — what you write to us and our replies

Information we collect automatically

  • Usage data — pages visited, features used, and timestamps
  • Device and log data — IP address, browser type, operating system, and error reports
  • Authentication data — session tokens and sign-in events

What we do not collect

We do not store full payment card numbers. Card details are entered directly into Stripe and never touch our servers. We do not collect biometric data, and we do not track your location outside of the addresses you enter on loads.

4. Who we share it with

We share data with a limited set of service providers who process it on our behalf, under contract, only to deliver the service:

We may also disclose information where required by law, to enforce our Terms of Service, to protect rights and safety, or in connection with a merger or acquisition (in which case we will notify you).

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

5. Document processing

When you upload a rate confirmation or other document for automated reading, the contents of that document are transmitted to our AI processing provider to extract the load fields.

  • Documents are sent only when you submit them for parsing — we do not scan your storage in the background
  • Extracted values are written back to your load record and stored in your office
  • We retain a record of the extraction so you can audit what was read and from where
  • We do not use your documents or freight data to train third-party AI models

If your documents contain personal information about your drivers or customers, that information is included in what is transmitted for processing. Only upload documents you have the right to share.

6. How long we keep it

7. How we protect it

  • Data is encrypted in transit (TLS) and at rest
  • Access to your office data is enforced at the database level, per-tenant, so one customer's data cannot be read by another
  • Staff access within your office is limited by role — drivers cannot see payroll, dispatchers cannot see other offices
  • Internal access to production data is restricted to personnel who need it to operate or support the service

No system is perfectly secure. If a breach affects your personal information we will notify you without undue delay and as required by applicable law.

8. Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate
  • Delete your personal information
  • Export your data in a portable format
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Not be discriminated against for exercising these rights

You can export most of your data yourself from within Loadshub at any time. For anything else, write to support@loadshub.app and we will respond within the period required by applicable law (generally 30–45 days).

If you are a driver or staff member whose information was entered by your employer, we act as a processor on their behalf. Please direct your request to your employer, and we will support them in fulfilling it.

9. International transfers

Loadshub is operated from the United States and your data is processed there. If you access the service from outside the US, you understand your information will be transferred to and processed in the US, which may have different data protection laws than your country.

10. Cookies

We use a small number of cookies and similar technologies:

  • Essential — to keep you signed in and maintain your session. These cannot be disabled without breaking the product.
  • Preference — to remember settings such as which office you last used.
  • Analytics — aggregate usage measurement to understand which features are used. No advertising cookies and no cross-site tracking.

You can control cookies through your browser, but disabling essential cookies will prevent you from signing in.

11. Children

Loadshub is a business tool and is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12. Changes

We may update this policy. If a change is material we will notify account owners by email and update the effective date above. The current version always lives at this URL.
